About the role
APRI Armenia is looking for a highly-organized and motivated individual to join our team as an Office Administrator (to cover maternity leave). The ideal candidate will have a strong understanding of administrative procedures and be able to handle a variety of tasks with minimal supervision. In this role, you will be responsible for scheduling appointments and meetings, booking travel, fielding emails and phone calls, managing databases and contacts, organizing the office, and providing support to the team.
Job Responsibilities
- Be the first person to greet and assist external guests visiting the office.
- Provide administrative support to the team, including by being responsible for the schedule of collective meetings, supporting the colleague hosting an external guest in the office and supporting the calendar of the executives.
- Receive incoming calls on APRI Armenia’s number and field emails sent to the general email addresses.
- Book travel for team members, including flights, hotels, and transport.
- Organize the office, including ensuring all spaces are tidy and paper-free, and setting up the closet, and ordering office supplies and ensuring effective stock management.
- Provide support to the team, as required, such as preparing PowerPoint presentations, or visuals on Canva, assisting with events planning and invitations.
- Manage databases and contacts, ensuring that they are up-to-date and accurate, on a regular basis.
- Provide routine site and content upload and maintenance on APRI’s website.
- Be the contact person for coordinating the work with external vendors such as IT support, design and printing companies, translation services etc.
- Other duties as assigned.
Experience and Skills
- 3+ years of experience in executive administration, office management, or a related field.
- Excellent communication and interpersonal skills.
- Fluent knowledge of English and Armenian, verbally and in writing.
- Ability to work independently and as part of a team.
- Strong attention to detail and organizational skills.
- Proficient in Microsoft Office Suite, Google Workspace and Canva tools.
- Must be able to maintain confidentiality.
- First aid training is encouraged.
Duration of Contract
The successful candidate will be hired for 12 months under an employment contract, with possible renewal under the law of the Republic of Armenia.
